Private Client – Wills & Probate Administration Assistant

We currently have a vacancy for an Administration Assistant to join our growing team on a permanent basis.

Job Description

  • Updating databases
  • Storage of documents
  • Copying, scanning, faxing and filing and other general administration work
  • To administer opening, closing, storage and retrieval of client files
  • To prepare mail and enclosures for despatch if required
  • Typing attendance notes
  • Marketing assistance
  • Audio typing in connection with LPAs
  • Managing the Certainty Will register
  • To make appointments, arrange meetings and to liaise with fee earners, clients, counsel
  • To provide support to secretaries as required
  • To undertake any specific training when required to do so and overall to have a responsibility towards self-development
  • To ensure the confidentiality of all the firm’s and clients’ documentation and information
  • Proof read your own work before giving to the file handlers

Person Specification


Essential Criteria

  • Previous legal experience is an advantage, but not essential
  • Computer literate
  • Excellent command of English spelling, punctuation and grammar (Grade C and above at GCSE or equivalent)
  • Excellent word processing and audio typing skills
  • Excellent customer service skills, including professional and friendly telephone manner

Desirable Criteria

  • Knowledge of the Proclaim case management system
  • Experience of digital dictation

  • Ability to deliver under pressure



  • Meets national minimum wage



  • Monday to Friday 9.00am to 5.30pm with a lunch break of one hour each day




  • 29 days inclusive of bank holidays annual leave (increases with length of service)
  • Birthday day off
